Privacy Policy

Last updated 1 October 2026

Thelix Inc., trading as Benchouse (“Benchouse”, “we”, “us”), is a company incorporated in Ontario, Canada. This policy explains how we collect, use and disclose personal information through benchouse.ai.

We act as the data controller for newsletter subscriptions, call bookings and website operations, including analytics. This means we determine why and how that information is processed.

For exports submitted for an audit and customer data processed through app.benchouse.ai, we act as a processor on behalf of the customer organisation.

Information we collect and why

Newsletter subscriptions

When you subscribe to our newsletter, we collect your email address and store it with Resend. We use it to send the newsletter.

We rely on your consent for this use. You can unsubscribe at any time using the link in any newsletter.

Uploaded exports and audits

When you upload an export for an audit, we receive the file, your email address, the file name, its size and a checksum used to identify the file.

We process personal information contained in the export on behalf of your organisation and under its instructions. Your organisation is the controller and is responsible for establishing a lawful basis for sharing and processing that information.

Exports may contain questions asked by people in your organisation and extracts from underlying datasets. These may include personal information about colleagues, customers or other individuals. You must be authorised to submit the export on your organisation’s behalf. Please remove personal information that is not needed for the audit before uploading.

We use the export to review your agent’s responses, identify errors and provide the requested audit. Access is limited to those who need it to provide the audit and the service providers involved in processing the file.

The export is stored in our own database, operated by Render and hosted in Frankfurt, Germany. It is not forwarded anywhere else. For each upload, Resend sends a notification to our Google Workspace inbox containing your email address, file name, file size and checksum. The notification does not include the file.

Unless we have already signed a Data Processing Agreement with your organisation, we handle audit uploads under the commitments described in this policy. To arrange a signed agreement before uploading, contact privacy@benchouse.ai.

Requests concerning personal information in an export should be directed to the organisation that submitted it. Authorised customer contacts may request deletion by emailing privacy@benchouse.ai.

Call bookings

When you book a call, we collect your name, email address, selected appointment time and any information you enter in the booking form.

Cal.com processes the booking and sends the invitation. Booking details are also stored in our Google Workspace calendar and email.

We use this information to arrange and conduct the call, based on your consent.

Website analytics

If you accept analytics through our consent banner, we use PostHog to understand how visitors use the website.

PostHog collects page views, session information, arrival and departure times, and information about the campaign that brought you to the website. These records are associated with a randomly generated identifier stored on your device. They are not linked to your email address.

We rely on your consent for this processing. If you decline analytics, no analytics identifier is stored on your device and no analytics events are sent to PostHog. Temporary analytics state remains in the current page’s memory and is discarded.

Operational logs

Our hosting provider records website requests, including IP addresses. We use these logs to operate the website, investigate technical problems and protect it against abuse.

Where applicable, we rely on our legitimate interest in maintaining a reliable and secure website.

When we disclose information

Service providers

We use service providers for hosting, storage, email delivery, bookings and analytics. They receive the information needed to provide those services.

Our service provider list explains who processes information and why.

Legal obligations and protection of rights

We may disclose personal information where required by law or in response to a valid legal request. Where permitted by law, we may also disclose information as necessary to investigate fraud or abuse, protect people’s safety, or establish, exercise or defend legal claims.

For information we process on behalf of customers, disclosures are governed by the applicable processing agreement and legal requirements.

Business transfers

Personal information may be disclosed or transferred in connection with a proposed or completed merger, acquisition, restructuring or sale of all or part of our business, subject to applicable law and our contractual obligations.

If a completed transaction changes who is responsible for your information or how it will be used, we will provide any notice required by law.

Where information is processed

Benchouse is based in Canada. Our website, its database and the exports uploaded to it are hosted in Frankfurt, Germany. Some of our service providers are based in the United States, so your information may be processed outside your province or country of residence.

Information processed in another country may be subject to that country’s laws, including lawful access by courts and public authorities.

How long we keep information

Retention depends on the type of information, the purpose for which it is processed, applicable customer instructions and legal requirements.

We may retain information for longer where required by law. For information we control, we may also retain it where necessary to establish, exercise or defend a legal claim.

Security

Information sent to and from this website travels over TLS. The database behind it is encrypted at rest and is not reachable from the public internet: it accepts connections only from our own services over a private network.

Access is limited to the people who need it. Every administrative account is protected by multi-factor authentication.

No method of internet transmission or electronic storage is completely secure. We cannot guarantee absolute security.

Your rights and choices

Depending on your location and the applicable law, you may have the right to:

Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

For information Benchouse controls, email privacy@benchouse.ai to make a request. We may ask you to verify your identity before responding.

For information we process on behalf of a customer, contact that organisation first. We assist our customers in responding to requests.

Some rights are subject to exceptions. If we cannot fulfil your request in full, we will explain why, subject to any legal restrictions. We do not charge a fee for privacy requests.

You may also complain to the privacy regulator responsible for your jurisdiction. In Canada, this may be the Office of the Privacy Commissioner of Canada or the relevant provincial regulator.

Cookies and local storage

We store your consent-banner choice on your device to remember your choice on future visits. This record is stored whether you accept or decline analytics.

If you accept analytics, PostHog also stores identifiers on your device to support the analytics described above.

Children

The website is intended for business users and is not directed at children.

If you believe a child has provided personal information to us, please contact privacy@benchouse.ai so that we can investigate and take appropriate action, including deletion where required.

Other websites

Our website may contain links to websites operated by other organisations. Their privacy policies govern information they collect when you visit them.

Data processed through the Benchouse product

When an organisation uses app.benchouse.ai, it determines the purposes for which customer telemetry is processed. The organisation acts as the data controller, and Benchouse acts as its processor.

We process that data on the organisation’s instructions and under a Data Processing Agreement.

If your organisation uses Benchouse and you wish to access, correct or delete personal information held in the product, contact your organisation first.

Changes to this policy

We may update this policy. The “Last updated” date at the top shows when it was last revised.
